Use one reference set and the same instructions

Extract the example download and choose the Cedar sales folder for the first comparison. Its four Markdown source files cover discount approvals, role ownership and customer quotations. Upload only those source files; keep evaluation.csv outside both projects. That prevents the assistant from retrieving the answer sheet instead of reasoning from the policy.

Use the supplied sources for business facts. Name the file and section supporting each conclusion. Check thresholds and exceptions. Treat a named approver or submitted request as different from recorded approval. If evidence is absent or conflicting, explain the gap without inventing a policy.

Use these instructions in both projects and record the account plan, model shown, test date and source versions. Begin with a fresh conversation in each project. A comparison is less informative if one side has already seen the expected answer or has extra instructions that change the task.

Compare answers and citations as separate results

Ask who must approve a 12% discount on a new annual Cedar subscription. The expected result names both sales lead Alex Chen and finance owner Morgan Lee. The policy establishes the threshold; the directory establishes the people. One source alone does not support the entire answer.

Then ask whether a 10% discount needs both approvals. This tests the boundary: the fictional policy requires the sales lead at 10% or less. A response that repeats the 12% answer has missed a meaningful distinction. Finally, ask for the refund policy. The supplied sources do not define one, so a confident refund period would be an invented fact.

For each response, record conclusion correctness and evidence sufficiency separately. Open the cited source, inspect the surrounding condition and save the actual output. Do not turn one successful answer into a general reliability score. Repeat the questions after a material source change.

Test mixed files without confusing retrieval and calculation

Next use the Harbor marketing folder. Its Word brief and PowerPoint deck describe the same campaign, but their budget status differs: approved in the brief and planned in the deck. Neither source is declared to supersede the other. Ask each assistant to report agreement, disagreement and missing information in separate rows.

Check the route that actually reads the presentation. Text, image content and speaker notes are separate evidence types. If an answer requires information found only in an image or notes, verify that the assistant received that information before evaluating its conclusion. Verify a source replacement in a fresh conversation

In a copy of Cedar’s discount policy, change commercial quote validity from 14 to 7 calendar days and increment the version to 1.1. This is an exercise change, not advice for a real commercial policy. Update the active reference collection in each project and inspect which versions remain available.

Ask for quote validity, version and supporting passage in a new conversation. The expected updated answer is 7 days from version 1.1. If a response still says 14, inspect its source before blaming the model. An old file, duplicated source or earlier conversation context may explain the result.

Record the work required to make the replacement unambiguous. A source library is an ongoing maintenance commitment, so update behavior matters alongside the first answer. Preserve any history you need in a clearly identified archive, and verify the active reference path rather than assuming an upload replaced an earlier file.

Check sharing with the access level people will have

Use harmless examples for an access check before introducing private documents. Verify an intended reader can retrieve the reference, an excluded reader cannot, and a source editor has only the intended editing powers. Test the returned content through the actual project, not just whether an invitation or project name appears.

Distinguish sharing a conversation from sharing its surrounding project. Decide whether colleagues should see sources, instructions and other contributions before selecting the sharing mode. Access testing needs authorized accounts at those access levels. One successful owner-account answer cannot prove an excluded reader is blocked. Treat an untested boundary as unresolved, and avoid publishing a “team-ready” conclusion based only on the owner’s view.

Recreate or connect a workflow without assuming full portability

If you change assistants, begin with the original files and a readable instruction document you are authorized to reuse. Create the destination project, check visibility, add the sources and rerun the baseline questions. Copying references does not establish that permissions, conversation context or connected accounts moved with them.

Native projects may be sufficient when one assistant already fits the team’s work. A separate document library becomes worth evaluating when maintaining the same sources across assistants creates repeated work. Compare the extra setup, access management and source-update checks before choosing that arrangement.
