NotebookLM alternatives for reusable team knowledge
Start with the part of your document workflow that needs to change. Evaluate ChatGPT Projects or Claude Projects for work inside those assistants, Copilot Notebooks for a Microsoft reference workflow, and Open Notebook when operating your own system is a real requirement. Keep NotebookLM if its source and output workflow already meets the task.

This shortlist compares operating workflows. It is not a league table of model intelligence. A tool can fit the surrounding work while still failing a particular source question; the file exercise below is how to investigate that distinction.
When staying with NotebookLM makes sense
Do not migrate to solve a limitation that no longer applies. Google’s current source guide lists Word, Markdown, PDF, CSV and PowerPoint alongside Google files and other source types. It also describes automatic updates for imported Drive sources. Check the route and account you actually use rather than treating every source as a permanently static copy.
If the required files, source questions and delivered outputs already work, moving creates a second setup and another set of maintenance checks. Identify a concrete missing capability before choosing a replacement. A larger competitor feature list is not, by itself, evidence that your workflow will improve.
Test a difficult passage and a changed source in the existing notebook first. Preserve that result as the baseline for the alternatives. Google also documents notebooks in Gemini Apps; inspect the available route before assuming a notebook can only be used in one interface.
ChatGPT Projects: keep references near ongoing assistant work
ChatGPT Projects is worth evaluating when document questions feed work you already do in ChatGPT, such as drafting a campaign brief or analyzing a spreadsheet. OpenAI documents project files, instructions and sharing. Match those controls to the people who will actually maintain and use the collection.
Compare the reference step and the later work separately. A correct source answer does not prove a subsequent spreadsheet calculation is correct. If your workflow needs arithmetic, request the selected records and method. If it needs a campaign decision, inspect the conditions in the policy.
Use the ChatGPT knowledge base guide for a small setup exercise. Record which model and tools were used, and whether the answer came from the intended project sources. Do not infer a complete migration merely because the same files uploaded successfully.
Claude Projects: evaluate the reference workflow you will maintain
Claude Projects is a relevant candidate when your team’s writing and document work already happens in Claude. Anthropic documents project knowledge and instructions, with organization sharing on Team and Enterprise. Confirm the plan and workspace controls needed for your intended audience.
Use the same questions you asked in the existing notebook. In particular, test a rule that needs a second source and an exception that changes an otherwise plausible answer. Adding more files or increasing retrieval capacity does not establish that the exception will appear in the result.

Copilot Notebooks: check the Microsoft reference boundary
For a Microsoft-centered workflow, investigate Copilot Notebooks before copying a working reference collection into another ecosystem. Microsoft’s reference guide describes uploads and references from OneDrive or SharePoint, including supported Office files. Its current availability and license notes matter to the evaluation.
Check which files were included and which ones the intended reader can access. A notebook invitation and permission to a referenced file are related but distinct things to verify. Run the test as the appropriate reader, not only as the owner who assembled the notebook.
Keep the source location in the comparison record. If you test an uploaded copy on one side and a maintained reference on another, compare their update behavior explicitly. Do not describe a result as “always current” without checking a real change and the evidence used afterward.
Open Notebook: include operation in the comparison
Open Notebook’s repository provides an open-source notebook implementation with model-provider choices. Evaluate it when choosing the deployment and providers is an actual requirement. Those choices need an owner who can maintain the service as well as someone who can review its answers.
Write down where source files, extracted text and model requests will go in the proposed configuration. An open-source application can still call a hosted model. A local model still needs suitable resources and a tested document workflow. Inspect the chosen setup rather than making a blanket privacy or zero-cost claim.
Include updates, backups, access removal and recovery in the trial. An attractive demo is not proof that the system will remain usable after a provider change or a restore. If operating the service is outside the team’s remit, that is a practical reason to favor a managed workflow.
Run one mixed-file acceptance exercise
Use the Harbor download: a CSV planning price list, a PowerPoint deck and a Markdown approval policy. Ask for the paid-ads price and whether the ads can launch. The authored expectation is a USD 10,000 planning price, with finance approval still pending and both marketing and finance required.
Then ask about an attributed customer quotation and actual spending. The policy adds written permission and legal approval; actual spending is absent. Record the actual answer and evidence from each candidate. Keep evaluation.csv outside the source collection, since it contains the expected answers.

Consider a shared source library when duplication is the problem
Sometimes the problem is maintaining the same source collection for several assistants. Ask Your Docs offers a separate upload, organize, connect and ask-with-sources workflow to evaluate for that case. It is not presented here as a replacement for every notebook output or assistant feature.
